Privacy Policy

Plain-language summary: MechTie collects the information you give us — your profile, credentials, work history, documents, and chatbot conversations — and uses it to run the platform. We use AI to scan credentials, verify documents, analyze job paperwork, and power our in-app assistant. We do not sell your data. We share it only with the vendors needed to operate MechTie. You can request deletion at any time.

1. Who We Are

MechTie is operated by Jensen Enterprises LLC, a Georgia limited liability company ("Company," "we," "us," or "our"). Our platform is available at mechtie.com.

2. Information We Collect

Information you provide directly:

  • Account registration data: name, email address, password (hashed — never stored in plain text)
  • Profile information: job title, location (city, state, country), bio, years of experience, hourly rate, availability status, engagement type, work basis, travel range, per diem preferences
  • Certifications and credentials: certificate names, issuing bodies, certificate numbers, issue and expiry dates, and uploaded proof documents or images
  • Equipment experience: equipment verticals, OEM platforms, and core technical skills
  • Work history: job titles, employers, locations, dates of employment, scope tags, and descriptions
  • Project log entries: project details, equipment information, scope of work, role, duration, region, sector, outcomes, and project photos
  • Profile photo (optional)
  • Phone number (optional, used for certification expiry alerts and team invitations)
  • Notification preferences: email and SMS alert settings, certification expiry thresholds, availability broadcast and weekly digest preferences
  • Documents uploaded to JobOps Intelligence: proposals, timesheets, change orders, and similar job documents
  • Chatbot conversations: messages you send to the Buzz assistant and the responses you receive
  • Feedback: messages, suggestions, and bug reports submitted through the Feedback tab or chatbot
  • Referral activity: your unique referral link usage and badges earned through the referral program
  • Early access requests: name, email, company, account type, and optional message submitted before account creation

Information collected automatically:

  • Log data: IP address, browser type, pages visited, timestamps
  • Authentication tokens managed by our authentication provider (stored in your browser's local storage)
  • Chatbot analytics: message source (FAQ or AI), IP address, and timestamps
  • QR code scan events on Gate Pass pages (timestamp only — no scanner identity is stored)
  • Audit logs: actions you take on the platform (e.g., account creation, credential updates) with timestamps

We do not collect payment card numbers directly. If we introduce paid plans in the future, subscription billing will be handled by our payment processor and subject to their privacy policy.

3. How We Use Your Information

  • To create and manage your account and professional profile
  • To display your Gate Pass (public profile) to anyone who scans or visits your profile link
  • To enable Enterprise users to discover specialists through search and save them to shortlists
  • To enable Team Managers to invite specialists and manage team rosters
  • To scan and categorize uploaded credential images using AI
  • To screen and verify credentials using AI-assisted review
  • To power the Buzz chatbot assistant, including personalizing responses using your profile data, certifications, and account context
  • To analyze uploaded job documents using AI and surface billing flags and insights (JobOps Intelligence)
  • To collect and review feedback you submit through the Feedback tab or chatbot, and use it to improve the platform
  • To generate internal daily activity reports for platform administration
  • To send transactional emails: account confirmation, password reset, team invitations, credential status updates, certification expiry alerts, and referral milestone notifications
  • To send Insights email notifications — individual post emails and the weekly digest — to users who have opted in. Users can change their preference (All posts / Weekly digest / No emails) at any time in Dashboard → Settings, or unsubscribe with one click from any Insights email.
  • To track referral activity and award referral badges
  • To monitor platform performance, fix bugs, and improve features
  • To comply with legal obligations

4. Public Profile and Gate Pass

Your Gate Pass profile page (mechtie.com/specialist/[username]) is publicly accessible by default. It displays your name, title, location, availability status, certifications, and QR code. Anyone with the link — including gate security personnel, hiring managers, or members of the public — can view this page.

You control what appears on your Gate Pass. You may update or remove information at any time from your account settings. If you deactivate your account, your public profile page will be taken offline.

5. Information Shared With Third Parties

We do not sell your personal information. We share data only with the following service providers, solely to operate the platform:

  • Cloud database and authentication provider — database hosting, authentication, and file storage (servers located in the United States)
  • Email delivery provider — transactional email delivery (team invitations, credential status notifications, certification expiry alerts, referral milestones, and administrative reports)
  • AI processing provider — AI processing via API. Data sent includes: (a) credential images for automated scanning and categorization, (b) credential documents for AI-assisted verification screening, (c) chatbot messages along with relevant profile context to generate personalized responses, and (d) job documents uploaded to JobOps Intelligence for analysis. Our AI provider's usage policies apply. We do not use your data to train AI models.
  • Web hosting provider — web hosting, edge network, and scheduled task execution for the mechtie.com application

We may disclose information if required by law, court order, or to protect the rights and safety of our users or the public.

6. AI Features and Document Privacy

Buzz chatbot: When you use the Buzz assistant, your messages — along with relevant profile data such as your name, role, certifications, and availability — are sent to our AI provider to generate personalized responses. Chat messages and responses are logged for platform improvement and administrative review.

Credential scanning and verification: When you upload a certification image, it is sent to our AI provider for automated extraction and categorization. Administrators may also use AI-assisted screening to review credential documents for accuracy and legitimacy. AI screening results are stored alongside your credential record.

JobOps Intelligence: Documents you upload (proposals, timesheets, change orders, etc.) are stored in our secure cloud storage and used solely to generate the intelligence report for the associated job. These documents are accessible only to the account that uploaded them. Document content is transmitted to our AI provider to generate analysis.

By using any AI feature, you confirm you have the right to share the content you submit. We recommend redacting client names or other sensitive third-party information from documents before uploading if you prefer additional confidentiality.

7. Data Retention

We retain your account data for as long as your account is active. If you request account deletion, we will delete your personal data within 30 days, except where retention is required by law or to resolve disputes.

Uploaded job documents, chatbot conversation logs, and feedback submissions are retained for the life of your account and deleted with it upon account deletion.

Server log data (IP addresses, page visits) is retained for up to 90 days for security and debugging purposes. Audit logs may be retained longer where required for compliance or dispute resolution.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data ("right to be forgotten")
  • Export a copy of your data in a portable format
  • Opt out of non-essential communications

To exercise any of these rights, email privacy@mechtie.com. We will respond within 30 days.

9. Security

We use industry-standard security practices including TLS encryption in transit, hashed passwords, and row-level security policies on our database. However, no method of transmission over the internet is 100% secure. Use a strong, unique password and do not share your credentials.

10. Children

MechTie is intended for working professionals and is not directed at anyone under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has created an account, contact us at privacy@mechtie.com and we will delete the account promptly.

11. Cookies and Local Storage

We use session cookies to keep you logged in and to maintain application state. We also store authentication tokens in your browser's local storage via our authentication provider to maintain your session across visits. We do not use advertising or cross-site tracking cookies. You can disable cookies or clear local storage in your browser settings, but doing so will sign you out.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page and, for material changes, notify registered users by email. Continued use of MechTie after a policy update constitutes acceptance of the revised policy.
